How to use the Dashboard

WorkflowGen’s Dashboard feature lets you create floating panels on your User Portal home page that you can arrange according to your needs. This way, all of your most important process and request information is available at a glance, and you can open forms directly from within the panels, so you don’t need to navigate away from your home page.

Dashboard panels are created from views saved from search results in Advanced view mode, which lets you customize the format and arrangement of search results, and view targeted information by filtering and organizing the information. In this article, we’ll create Chart and Quick Mass Approval dashboard panels.

  1. On your User Portal home page, click Search.

  2. Check Advanced view.

  3. Choose search filters as needed, then click Search.

  4. To create a chart, you must group the search results by at least one column. To do this, drag the column header into the blue bar directly above the columns, or click the pencil icon located in the top right corner of the column header and select Group by this column from the drop-down menu. You can group by additional columns as needed.

  5. Click View chart and choose Standard or Custom.

  6. If you’ve chosen to create a standard chart, choose the chart type and the value from the drop-down lists. If you’ve chosen to create a custom chart, follow the instructions in the Advanced View: Custom charts article.

  7. Click Save as view, enter a name for the view (or select a view to replace from the drop-down list), and check Display link on the home page.

  8. Return to your home page and click My views to expand the list of saved views.

  9. Click the bar chart/magnifying glass icon to the left of the name of the saved view. This will open a dashboard panel containing the view.

Quick Mass Approval dashboard panel

Note: The following instructions assume that your WorkflowGen administrator has enabled Quick Mass Approval and that you have approval actions to do.

  1. On your User Portal home page, click Search.

  2. On the Search screen, click Actions to perform a search on actions.

  3. Check both Advanced view and Quick approval.

  4. Choose any other search filters as needed, then click Search.

  5. On the Search results page, drag the Action column header into the blue bar directly above the columns, or click the pencil icon located in the top right corner of the column header and select Group by this column from the drop-down menu. All of your approval actions will be grouped together with their approval buttons displayed.

  6. Click Save as view, enter a name for the view (or select a view to replace from the drop-down list), and check Display link on the home page.

  7. Return to your home page and click My views to expand the list of saved views.

  8. Click the bar chart/magnifying glass icon to the left of the name of the saved view. This will open a dashboard panel containing the view.

  9. Use the scroll bars in the dashboard panel to display the section of the view that contains your approval actions and their approval buttons.

  10. You can then perform your approvals (and leave comments, if this function has been enabled) directly within the panel. Checking Multi-selection lets you select the same approval answer for all actions of the same process by clicking a single approval button.

  11. Click Submit to submit your approvals or Reset to undo your selections (and delete your comments, if applicable).

Dashboard refresh and auto refresh

The views in dashboard panels will always refresh when you return to your home page, but you can manually refresh them by clicking the refresh icon (a circular arrow) in the top right corner of the panel.

If your WorkflowGen administrator has enabled the auto refresh feature, the auto refresh icon (a circular arrow with clock hands) will appear, and the panels will refresh according to the preset interval.You can disable and re-enable auto refresh by clicking the icon.

Important: If you navigate away from the view displayed in the panel, such as when opening a request or action follow-up form, and then click the refresh icon, the panel will return to the view and refresh it. In this case, you would lose any information entered into the form but not submitted. As well, if you refresh while performing Quick Mass Approval validations, any selected buttons will be reset. Refresh is disabled during drilldown of custom charts in dashboard panels.
