New recurring overdue and pre-overdue reminders feature

Starting with WorkflowGen 9.6.0, you can configure recurring reminders for overdue and pre-overdue action notifications directly from an action’s additional notifications settings.

This improves the existing overdue and pre-overdue notification behavior by allowing administrators to configure a controlled series of reminder emails instead of a single notification. Recurring reminders are useful when an action requires repeated follow-up before or after its due date, especially for approvals, reviews, compliance steps, or other time-sensitive tasks.

Recurring reminders will be available for WorkflowGen v10 in an upcoming 10.x release.

How this improves overdue and pre-overdue notifications

In previous notification configurations, an overdue or pre-overdue notification could be sent when an action reached a specific timing condition. For example, WorkflowGen could notify a participant when an action became overdue, or notify them shortly before an action’s due date.

However, these notifications were essentially one-time alerts. Providing additional reminders therefore required manual follow-up by process supervisors, external scheduling, or additional process logic configured by process designers.

WorkflowGen 9.6 removes that limitation by letting you configure recurrence directly on the notification itself.

Instead of sending a single alert, WorkflowGen can now send repeated reminders according to a defined schedule. This makes overdue and pre-overdue notifications more useful for real-world deadline management, where one email is often not enough to make sure an action is completed.

When to use recurring reminders

Use recurring overdue or pre-overdue reminders when participants need repeated follow-up for an action that’s approaching its due date or has already become overdue.

Common use cases include:

  • Approval requests that must be completed before a deadline
  • Review tasks that block the next step in a process
  • Compliance-related actions requiring timely completion
  • Service-level agreement follow-up
  • Administrative tasks where requesters, supervisors, or assignees need repeated reminders
  • Any process where a single notification might be missed, ignored, or buried in the user’s inbox

Recurring reminders are especially useful when the action remains pending for several days and the responsible user needs continued nudging.

Supported notification events

Recurring reminders are available only for Overdue and Prior overdue additional notification events. Other additional notification events don’t support recurrence because the feature is specifically designed for reminders related to an action’s due date, either before the action becomes overdue or after it has already passed its deadline.

How recurring reminders work

Recurring reminders are configured in an action’s Additional notifications section, on the Edit action panel’s Notifications tab.

When you add or edit an Overdue or Prior overdue notification, you can configure a schedule that controls when the reminders start, how often they repeat, and how many times they’re sent.

Benefits

Recurring reminders provide several advantages over standard overdue and pre-overdue notifications.

  • Fewer manual follow-ups: Administrators and supervisors no longer need to manually remind users when an action remains pending. WorkflowGen can send repeated reminders automatically.

  • Cleaner process design: Reminder logic can be configured directly in the action notification settings instead of being modeled through extra workflow steps, timer actions, or external scripts. This keeps the process definition cleaner and easier to maintain.

  • Better deadline management: Recurring reminders help keep due dates visible. A single email can easily be missed, but repeated reminders increase the chance that the user responsible for the action will act before the delay affects the rest of the process.

  • Controlled repetition: The Repeat count setting prevents reminders from being sent indefinitely. This gives process supervisors persistence without creating an endless stream of notifications.

  • More flexible timing: The Start and Repeat every settings allow administrators to define different reminder strategies depending on the process:

    • immediate reminders when an action becomes overdue
    • delayed reminders after a grace period
    • daily reminders before a deadline
    • periodic reminders after a missed deadline
    • limited reminder sequences for high-priority actions
